Intake & scheduling

How do I get started?

Click 'Start intake' or 'Book appointment' on any page. You will complete a short intake form and then schedule a consultation with a licensed clinician. The clinician reviews your information and makes an eligibility determination.

How long does the intake process take?

Completing the intake form takes roughly 15–20 minutes. The clinical review and consultation typically happens within one to two weeks depending on availability. You will receive confirmation and scheduling instructions by email.

Can I reschedule my consultation?

Yes. Contact the care team at care@ketaminehubs.com or by phone at least 24 hours before your scheduled consultation to reschedule. Late cancellations may be subject to a fee per the cancellation policy communicated at booking.

What happens if I am not eligible?

You will be informed clearly and promptly. If treatment is not appropriate for you, the clinician will explain why and, where possible, suggest appropriate next steps or resources. There is no pressure to proceed and no further charge beyond the consultation fee.

Your care program

What happens after I am approved?

Your clinician will outline your program, which includes preparation guidance, session scheduling, and information about follow-up care. You will receive preparation materials covering environment setup, the in-person clinical supervision requirement, and what to expect during sessions.

How many sessions are in a standard program?

A standard program consists of six sessions. Session frequency and timing are determined by your clinician based on your clinical profile. Maintenance sessions at a separate rate are available to program completers as recommended by their clinician.

How is in-person supervision handled?

In-person sessions are supervised by licensed clinical staff at our Clinton, MD center. In-person clinical supervision is required for every treatment session.

How do I access integration materials and follow-up?

Integration prompts and follow-up instructions are provided after each session through the platform or by email, depending on your care setup. Your clinician will review your responses before your next session proceeds.

Billing & payment

When do I pay?

The intake consultation fee ($150) is due at the time of booking. Treatment program fees are confirmed and collected after eligibility is determined — you will know the full cost before making any commitment to proceed.

Does insurance cover ketamine therapy?

Most health insurance plans do not cover ketamine therapy directly. Some may offer partial reimbursement for the consultation component. We can provide a superbill or supporting documentation for a reimbursement submission. Contact the care team after your consultation to discuss.

Are payment plans available?

Payment arrangements for the treatment program can be discussed on a case-by-case basis. Contact the care team after your consultation at care@ketaminehubs.com to explore options.

How do I get a receipt or invoice?

Receipts are sent by email after each payment is processed. If you need a copy or a formal invoice for reimbursement purposes, contact the care team and we will send one within two business days.

Technical support

How do I update my contact or health information?

Contact the care team directly at care@ketaminehubs.com or by phone. A coordinator will assist you in updating your records promptly. Do not send sensitive health information via unencrypted email — a coordinator will provide a secure method.

I did not receive a confirmation email. What should I do?

Check your spam or junk folder first. If the email is not there, contact the care team with the name and email address used during booking and we will resend or confirm your booking manually.

How do I access my session materials or preparation guide?

Session materials are sent by email ahead of each session. If you have not received them at least 48 hours before your scheduled session, contact the care team so we can resend them with time to review.

How do I close my account or request data deletion?

Contact care@ketaminehubs.com to request account closure or data deletion. Health records are retained as required by law and cannot be fully deleted, but non-clinical account data can be removed upon request.
